How to Keep WhatsApp + Human Review in an AI SDR Workflow

October 23, 2026
Pause AI on one WhatsApp thread, let a human reply from the same number, write the decision back, then resume. Here is a review checklist, a handoff flow, and the rules that keep buyers from repeating themselves.

An AI SDR can cover the first reply on WhatsApp while your team is offline. The hard part is not starting the bot. It is pausing it for judgment calls without losing the thread, the number, or the CRM trail.

How do you keep WhatsApp and human review in an AI SDR workflow?

Treat human review as a first-class state on each conversation, not a global on/off switch. Pause AI on that thread when the topic needs judgment, let a named owner reply from the same WhatsApp number with full history, write the decision and next step to the CRM, then resume AI only when the gate clears. Do not make the buyer switch numbers or retell the story.

This sits next to the AI SDR vs WhatsApp chatbot vs human SDR decision: the chatbot routes, the AI SDR covers first reply and qualification, the human owns judgment. PulseAgent supports pausing AI on a single conversation, replying from the same number, and resuming afterward (WhatsApp SDR human takeover).

What must stay human on WhatsApp

Write the list before you turn AI on. If a message matches any row, pause.

Trigger AI may… Human must…
Custom price, discount, payment terms Acknowledge and escalate Decide and send the commercial answer
Contract, delivery commitment, SLA Stop committing Own the wording
Custom specs / engineering change Collect clarifying questions only Confirm feasibility
Complaint, refund, legal Acknowledge and escalate Own the response
Buyer asks for a person Confirm handoff ETA Take the thread
High-value or strategic account (your rule) Qualify only if pre-cleared Own the relationship

Everything else can stay with AI if it is grounded in approved material.

[5] Watch the 24-hour WhatsApp customer service window
(buyer message/call opens or resets it; after close, only approved templates)

Meta documents the 24-hour customer service window for the WhatsApp Business Platform: after it closes, you can only send approved template messages until the buyer writes again (Meta: service messages).

Operating rules that keep context

  1. One number. Human takeover uses the same WhatsApp identity the buyer already messaged.
  2. Pause is per conversation. Do not shut off AI for every lead because one deal needs a person.
  3. CRM is the handoff surface. Owner opens the record, not a screenshot dump in chat.
  4. Resume is explicit. AI returns only after a human sets "resume" (or your equivalent), never by timeout alone on sensitive threads.
  5. Templates after window close. If the human missed the window, use approved templates; do not invent free-form outbound.

Copy this to your AI agent

You are designing WhatsApp + human review rules for a B2B AI SDR.
Use only my inputs. Do not invent volumes or conversion rates.

Inputs I will paste:
1. Our human-only topic list (or say if missing)
2. Sample WhatsApp threads (anonymized): timestamps, AI vs human turns
3. CRM fields we have today for pause, owner, next step
4. Whether we use WhatsApp Business App or Business Platform (API)

Please output:
1. A pause checklist mapped to our topics.
2. Gaps where AI kept talking past a human-only trigger.
3. The minimum CRM fields for pause / owner / decision / resume.
4. A 24-hour window watch procedure for owners.
5. Questions I still need to answer.

Say "not enough data" when evidence is missing.

Common questions

Do we need to turn AI off for the whole inbox to review one lead? No. Pause that conversation only, reply from the same number, then resume if appropriate.

What if the buyer messages while the human is still deciding? Keep AI paused on that thread. An auto "a specialist is reviewing" from approved copy is safer than a guessing AI.

Does human review guarantee more deals? No. It reduces wrong commitments and lost context. Deal outcomes still depend on offer and follow-through.

How does this relate to chatbots? A chatbot can confirm receipt. Human review in an AI SDR workflow is about judgment gates on live qualifying threads. See the three-way comparison.

Next step

If you already know which topics must stay human, put pause/resume on those threads and compare plans on the PulseAgent pricing page.
